1Who we are
TREEVOXA (TREEVOXA, an Association of Persons (partnership firm) registered with the Federal Board of Revenue, Pakistan, NTN J883480, Plot No. R-326, Hansa Society, Scheme-33, Karachi East, Karachi, Sindh, Pakistan) provides the treevoxa.com website and the RE-ERP, Batchbook, FitZone Pro, MatrixHR, PharmaFlow, DealWisp and Callboard software (“Services”). Contact for privacy matters: admin@treevoxa.com.
2Two roles
For account, billing and website data, we decide how data is used (controller). For data our customers enter into the Services about their own customers, members, tenants or staff (“Customer Data”), we act only on our customer’s instructions (processor); our customer is responsible for having a lawful basis to collect it.
3Data we collect
Account data (name, email, phone, business name, role); usage data (log-ins, feature usage, device and browser info, IP address); support communications; contact-form submissions; Customer Data you upload, including files you give to the AI assistant.
Billing data — payments are handled by Paddle, and we receive only limited information (name, email, country, plan, transaction status); we never see or store full card numbers.
4How we use data
To provide, secure and support the Services; to manage subscriptions and AI credits; to communicate service and billing notices; to improve the product using aggregated usage data; to comply with law. We do not sell personal data.
5AI features and call recordings
Callboard processes callers’ voice, phone number, call recordings and transcripts on behalf of our customer to answer calls; our customer is responsible for any call-recording notice required in their jurisdiction.
When you use the AI assistant, the relevant prompt, file contents and records are sent to our AI providers (OpenAI and/or Anthropic, as selected by us) solely to generate the response. Under their API terms, this data is not used to train their models. We log AI requests (prompt, action taken, credits used) for billing, security and audit.
6Sub-processors
Paddle (payments, Merchant of Record); telephony and speech providers (Callboard); our cloud hosting and database providers; email delivery providers; OpenAI and Anthropic (AI features). A current list is available on request at admin@treevoxa.com.
7International transfers
Our providers may process data outside your country, including in the United States and European Union, with appropriate safeguards where required.
8Retention
Account data is kept while your account is active. Customer Data is deleted within 30 days after account closure (after the export window), except backups which roll off within 90 days. Billing records are kept as required by tax law.
9Security
Encryption in transit (HTTPS), access controls and role-based permissions, tenant data isolation, audit logging and regular backups.
10Your rights
Depending on where you live (for example under GDPR or UK GDPR) you may access, correct, delete, export or object to processing of your personal data, and complain to your local data-protection authority. Email admin@treevoxa.com; we respond within 30 days.
If your data was entered by one of our customers (for example your gym or property manager), please contact them first — we will assist them.
11Cookies
We use essential cookies and local storage to keep you signed in and remember preferences, and use analytics on the website (Google Analytics and our own lead-tracking script) to understand how the site is used. These may set cookies and send usage data, such as pages viewed and approximate location, to those providers. Paddle may set cookies during checkout.
12Children
The Services are for businesses and not directed to children under 16.
13Changes
We will post updates here and change the “Last updated” date; material changes are notified by email.
